The Mission
KIPP LA Public Schools is a non-profit organization that operates free, open-enrollment, college-preparatory public charter schools serving students in South, Southeast, and East Los Angeles. KIPP LA’s mission is to teach the academic skills, foster the intellectual habits, and cultivate the character traits needed for our students to thrive in school, college, and life. KIPP LA currently operates 15 schools and serves approximately 6,500 students. Our team is expanding rapidly; over the next five years, we will more than double the number of students we serve.
The Opportunity
- KIPP LA Schools is seeking a School Operations Coordinator for the 2018-2019 school year. The School Office Coordinator will support the school operations team in the day-to-day operations
- They will have a significant role in creating and implementing policies, systems, and procedures
- They will establish a school culture centered on our core values and ensure our students climb the mountain to and through college
Student & Family Relations
- Welcomes and attends to prospective and current families
- Upholds and maintains a positive, nurturing, and achievement-oriented school culture
- Builds relationships with families to keep them well-informed and support their needs
- Administers basic first aid, distributes medication, maintains injury reports, and contacts parents as necessary
- Reports major injuries, head injuries and other school incidents to School Business Operations Manager
Office Operations
- Organizes, secures and maintains a pristine office space and environment
- Directs phone calls and guests warmly and professionally
- Translates, and distributes school correspondence including but not limited to: letters, memos, and weekly bulletins
- Assists with coordinating field trips and other student and school-wide events
- Executes on school-wide fundraisers for the year
- Assists in ordering, purchasing, receiving, and organizing materials
- Supports all school-based communication systems
Student Information & Data
- Supports daily attendance procedures and works with the Office Manager or Registrar to ensure the accuracy of students’ daily attendance
- Supports the goal of achieving a high average daily attendance by communicating attendance expectations to families and assisting in other activities
- Supports student data submissions via Illuminate, KIPP LA’s student information system
- Supports management of student records in accordance with federal and school-based policies, as well as audit guidelines
- Supports the Office Manager or Registrar in monitoring records verification of incoming students, preparing transcripts for current students, and preparing withdrawal forms for transferring students
- Maintains emergency medical and contact information for all students
- Ensures schools have complete and current immunization records for all students
- Ensures confidentiality and security of office space, files, and all information pertaining to students, parents, staff, and community
- Assists the School Business Operations Manager in distributing, accepting, and entering free and reduced meal applications
Enrollment & Lottery
- Supports the collection of student interest forms
- Assists Office Manager or Registrar in entering interest forms into Smart Choice, KIPP LA’s lottery management system
- Assists Office Manage or Registrar in entering enrollment packets into Illuminate
- Assists the Office Manager or Registrar in managing family communication, pre and post-lottery
- Supports the distribution and collection of enrollment packets to families of admitted students
The Qualifications
- Minimum of AA/AS degree or two years of coursework at an institution of higher learning required; BA/BS preferred
- Spanish fluency (verbal, oral, written) required
- 2 or more years of full time working experience in a fast-paced office environment
- Experience in proper office procedures including filing, answering the telephone professionally, photocopying, greeting all visitors cordially, and handling information with confidentiality
- Strong organizational and interpersonal skills
- Ability to work independently and with a team
- Prior experience working with students in an academic or recreational setting preferred
