Administrative Services Specialist – Charter Schools
The Administrative Services Specialist is a classified, non-exempt position with Element Education. The Administrative Services Specialist reports to the School Directors and the Executive Assistant and is primarily responsible for general duties pertaining to the operations of the charter schools and the administrative office.
Essential Functions
Program Support
- Provide support to the School Directors
- Assist Executive Assistant, as-needed
- Maintain school calendar
- Order materials and supplies, including t-shirts
- Prepare and accurately maintain a variety of records and files relating to school programs including, but not limited to, Grad Night, Graduation, Prom, and Writing Contest
- Maintain responsibility for compiling and inputting data to submit reports, such as SARC, as required by the California Department of Education
- Create and distribute school newsletters
- Revise and distribute school handbooks and other documents and forms, as necessary
- Track fundraising efforts
- Update school website and team site as directed
- Field trip administration including Overseeing field trips and overnight field experiences
- Create, compile, and publish yearbooks
Accountability and General Administration
- Perform a variety of clerical tasks including, but not limited to, typing, proofreading, filing, and data entry
- Assist with answering telephone calls, providing caller with general information, and directing to appropriate personnel
- Compose routine correspondence
- Maintain a variety of alphabetical, numerical, and subject matter files and records
- Receive, sort, and distribute mail
- Schedule appointments and meetings, as requested
- Maintain a neat and orderly work environment
- Maintain copier and order supplies
- Coordinate and prepare for staff meetings and special events, including preparing conference room for meetings
- Support staff as needed
- Attend all required meetings and trainings
- Observe confidentiality
Public Relations
- Develop positive relationships with parents and general public associated with the organization
- Communicate and support the school’s mission, policies, and procedures
- Represent Element Education and its programs in a positive and professional manner
Professional and Organizational Development
- In collaboration with School Directors, plan for own career growth and ongoing professional development
- Other duties as assigned
Knowledge, Skills, & Abilities
- Previous experience working in a school office setting
- Professional phone etiquette
- Familiarity and commitment to the mission and educational philosophy of Element Education
- Ability to maintain records as directed by supervisor
- Ability to work independently with minimal supervision; be self-motivated and well-organized
- Ability to think strategically and independently
- Ability to maintain confidentiality regarding parents, families, and staff
- Ability to exercise emotional maturity in communicating with students, parents, and colleagues
- Demonstrate considerable knowledge of computers and all aspects of the Microsoft Office
- Demonstrated ability to work under pressure, prioritize, multi-task, and meet deadlines
- Ability to communicate clearly and concisely, both orally and in writing
- Demonstrate good judgement
- Ability to establish and maintain effective relationships; be approachable and professional
Requirements
- High school diploma
Upon Hire/Offer
- First Aid/CPR/AED certification
- Proof that employee is free of active tuberculosis (i.e. TB risk assessment, TB test, chest X-ray, etc.)
- Reliable vehicle and 50/100 auto insurance coverage; proof of valid driver’s license
- Successful background clearance
Salary: $40,098-$62,205 per year; Part-Time: Percentage of salary
Work Schedule: 12 months

While performing the duties of this job, the employee is regularly required to stand, walk, and sit for an extended period of time. Sitting is done at a desk with forward bending from the waist, leaning on the forearms, and looking down which requires neck flexion. The employee is regularly required to read, speak, see, and hear well enough to communicate by telephone, electronically, and in person. Employee must also regularly be able to write, file, type and operate a computer, telephone, and general office equipment. It is necessary to grasp and manipulate pens, markers, scissors, staplers, etc., either occasionally or frequently, depending on the day. May occasionally have to climb up stairs, stoop, kneel, and/or lift and carry up to 25 lbs.
The employee must have reliable transportation and be able to attend meetings at various Element Education regions.
