Secretary/Translator Supervisor: Director or site administrator Evaluator: Supervisor Job Goal: To assist in the smooth and efficient operation of the office through the providing of skilled secretarial and translation services. Required Qualifications: • High School Diploma or equivalent. • At least 18 years of age. • Completed coursework in Office Practices and Secretarial Skills. • Secretarial experience involving public contact. • Demonstrated proficiency on the IBM and Macintosh computer. • Word process at 55 words per minute. • Physical and mental stamina required to perform well in a stressful environment. • Bilingual/biliterate in Spanish and English with written and verbal translation capability. Desired Qualifications: • Experience with the IBM word processing program. • Success in working with a wide range of people including parents and the general public. • Two years comparable secretarial experience. • A two or four year college degree. • Experience with local community issues. Responsibilities: Under the general supervision of the administrator, and within a broad framework of standard policies and procedures, works independently and with others to perform a variety of secretarial and translation functions. Requires the ability to exercise independent judgment, initiative, and superior communication and secretarial skill. Oral and written translation skills must be of the highest quality as must public relations and people skills. Examples of Duties: • Performs a wide variety of secretarial/clerical duties. • Receives visitors, screens and forwards phone calls, and provides information about the District and its purpose. • Composes letters independently or from oral instructions. • Maintains confidentiality. • Serves as translator and interpreter as needed, translates written materials, and assists Spanish speakers who call or visit the district or school site office. • Assists parents and the public with information and access to the appropriate staff member. • Maintains files and calendars. • Assists in coordinating and making arrangements for school and community activities held at the district offices or school. • Other related duties as assigned. Required Knowledge: Proper office methods, practices and procedures, including telephone etiquette, receptionist skills, computer skills, filing systems, report and letter writing, business English/Spanish, and policies and procedures of the District and school operations. Required Abilities: Must be able to perform duties with tact and confidentiality, prioritize a changing workload, interpret and explain laws, rules and policies, compose correspondence, take dictation, word process information in English and Spanish, understand and carry-out written and oral instructions, operate and maintain office machines, direct and coordinate the work of others, communicate effectively in English and Spanish, and maintain cooperative work relationships. Physical Effort/Work Environment: Moderate physical effort required, with occasional standing and walking. Some lifting of light to medium weight packages will be required. Indoor work environment.
