TUSTIN UNIFIED SCHOOL DISTRICT SCHOOL SECRETARY III Range 40 DEFINITION: The School Secretary III, under the direction of a site administrator, provides secretarial support related to the functions and activities of an assigned middle or high school, involving frequent contact with students, staff and general public related to counseling, discipline use of facilities. ESSENTIAL DUTIES: • Greets and assists students, faculty, staff, parents and others: schedule and coordinate meetings, appointments and conferences as needed. • Initiates and answers phone calls and takes messages; provides information and assistance to students, teachers, parents and others regarding the functions and activities of assigned office. • Assists students and parents in procedures for completion of forms and applications; reviews completed forms for accuracy and completeness; processes forms, requisitions, suspensions and related materials. • Compiles and maintains a variety of records and reports according to established procedures and time lines; receives monies and issues receipts as needed. • Maintains appropriate files, forms, cards and records; operates computer terminal to input and update a variety of data; generates a variety of labels, lists, reports, records and rosters as required. • Operates a variety of modern office equipment. • Develops and maintains schedules; arranges for transportation and staffing of events as necessary. • Interprets and explains policies related to activities. • Types, duplicates and distributes a variety of correspondence and documents, including purchase requisitions, letters, notices, articles, reports, forms, lists, and certificates; attends meetings, takes, prepares and distributes minutes as assigned. • Assists administrator(s), counselor(s) and staff by performing research and special projects as requested. • Receives, sorts, and distributes mail; orders, maintains and distributes materials, supplies and equipment as directed. • Performs related tasks as required. QUALIFICATIONS: Knowledge of: • Correct English usage, spelling, grammar and punctuation. • Current computer applications in word processing, presentation preparation, spreadsheet/database, and Internet access. • Modern office organization, procedures and practices. • Business letter writing and basic report preparation. • Principles and procedures of record keeping. • Telephone etiquette. • Health regulations and safe working methods and procedures. • Proper lifting techniques. • District policies, rules and regulations. Ability to: • Work under conditions of frequent interruptions and deadlines. • Maintain cooperative and effective working relationship with students, parents and staff. • Type at a net corrected speed of 55 words per minute. • Perform a variety of complex clerical and secretarial work involving use of independent judgment and requiring accuracy and speed. • Analyze situations accurately and make decisions in procedural matters without immediate supervision. • Devise or adapt office procedures in response to changing organizational needs. • Make clear and comprehensive reports and keep simple records. • Operate standard office equipment. • Read, understand, and explain technical policies and materials. • Use dictation equipment with proficiency. • Communicate effectively both orally and in writing. • Observe health and safety regulations. • Work cooperatively with others. • Understand and follow oral and written instructions. Education/Training/Required Certification: • High school graduate or equivalent. • At least one year experience in a responsible secretarial/clerical position, preferably in a public school setting or school district office. • Valid First Aid and CPR certification desirable. • Courses in recognized college or business school in secretarial or related subjects desirable. •Bilingual in Spanish desirable. • Accurate dictation an transcription skills desirable.
