Jurupa Unified School District SECRETARY – ELEMENTARY AND NVHS PRINCIPAL DEFINITION Under direction to act as receptionist in providing information and communications for an elementary school; maintains, verifies, and reports on basic school data and records; serves as office assistant to the school principal; performs related work as assigned. Positions in this class are characterized by: 1) the wide range of activities handled; 2) an atmosphere of interruptions and pressure, 3) necessary and frequent absences of the principal, and 4) the pivotal role in facilitating the school’s education purposes. ESSENTIAL JOB FUNCTIONS · Receives heavy volume of telephone calls and personal contacts from parents, pupils, teachers, various district offices, other schools, and the public requesting information, appointments and actions, leaving messages or instructions, or registering complaints. · Answers questions and gives out information correctly and discreetly. · Discusses problems and handles complaints diplomatically. · Transmits messages and information quickly and accurately. · Receives instructions from many district offices. · Maintains basic records and files on students, parent information, attendance and grades, school budget, supplies, requisitions, work orders, encumbrances and expenditures, time cards for site personnel, school activities, correspondence, and bulletins. · Prepares forms and reports for district offices, regularly and upon request. · Maintains supply room and first aid station. · Assists the principal in record keeping, record reporting, and office operations. · Schedules and coordinates substitute employees and other staff as assigned. · Composes and types correspondence, memos, reports, handbooks, bulletins, cards and forms for assigned school and parent groups as needed. · Makes arithmetical calculations with speed and accuracy. · Provides necessary services to teachers. · Administers first aid when the nurse is not in attendance. OTHER JOB FUNCTIONS · Sets displays and prepares bulletin boards. · Assists in maintaining standard office equipment. · Performs other related duties as assigned. LICENSES OR CERTIFICATES Completing and maintaining a valid First Aid Certificate will be required after hiring. DESIRABLE QUALIFICATIONS Knowledge of: Modern office methods and filing methods; English, grammar, spelling, punctuation, composition, and good vocabulary; Mathematics, record keeping, filing, and proofreading; Terminology used in schools, requisitioning, bookkeeping, and general office work; Basic computer operation. Personnel Services (over) SECRETARY – ELEMENTARY AND NVHS PRINCIPAL Ability to: Maintain harmonious personal relationships with teachers, parents, and students; Communicate effectively and courteously; Follow written and oral directions and learn new procedures rapidly; Post, check, and maintain files and records accurately; Make arithmetical calculations with speed and accuracy; Read and comprehend handwritten or typed documents, and the display screen of office machines; Communicate effectively; Deal with hostile, emotional, ill or angry persons in an effective manner; Lift and move light to medium-weight objects such as boxes of books, office supplies, or presentation materials; Sit for sustained periods of time; Move at a high rate of speed to various locations on campus to assist injured or ill personnel; Work on more than one task at a time; Concentrate on current task in spite of distractions in an active, busy environment; Efficiently and effectively operate office machines, including a computer with keyboard and monitor, for sustained periods of time; Demonstrate manual dexterity necessary to operate calculator, typewriter, and/or computer keyboard at the required speed and accuracy; Maintain regular, steady attendance. Skills: Typing: 50 words per minute Experience: Two years of office work involving considerable public contact, or two years of typing and/or secretarial work at a responsible level. Prefer public school district experience. Education: Equivalent to graduation from high school, preferably including or supplemented by courses in typing and office procedures. Personal Qualities: Maturity, pleasant and friendly demeanor, and the ability to work under pressure and with constant interruptions. Personnel Services June 30, 2000
