TITLE OF POSITION:  REGISTRAR

 

DESCRIPTION OF POSITION:  The job of “Registrar” involves accurately evaluating and keeping the official transcripts of a secondary school’s students and assuring their confidentiality.  Under the direct supervision of the school site administrator.

ESSENTIAL JOB FUNCTIONS:

  • Evaluates and records semester and quarter credits and grades.
  • Maintains permanent record cards; records student’s grades, yearly attendance, test scores, grade changes, activities, athletics, yearly credit, deficiencies, waivers, and credits from other schools. 
  • Figures yearly credit, checks credits and notifies counselors of deficiencies.
  • Evaluates and posts transcripts from other schools.
  • Compiles weekly enrollment and specialized reports; completes surveys requested by the District and annual State reports.
  • Initiates necessary correspondence in answer to inquiries from other schools, employers, state officials and scholarship/award committees.
  • Prepares student information for graduation; checks graduation requirements and rank in class; orders diplomas.

OTHER JOB FUNCTIONS:

  • Prepares and types list of students eligible for scholastic honor roll and sends out for publication.
  • Enters all student information into the District’s computer system, including grade, credit, and grade point average changes; assists in determining procedures for group registration.
  • Forwards student permanent records to the District office.
  • Performs related duties as assigned.

ESSENTIAL JOB REQUIREMENTS - QUALIFICATIONS:

  • Education and Experience Required: High school diploma or equivalent. Two years general clerical work; one-year experience in the maintenance of statistical, confidential and student records highly desirable.
  • Skills, Knowledge and/or Abilities Required: Typing 40 wpm; knowledge of computer and data entry; office methods and equipment including filing systems; and secondary school grading structure.  Ability to make mathematical calculations rapidly and accurately; apply rules, regulations, laws and policies regarding student records; compile and maintain accurate and complete records and reports; perform responsible clerical work involving independent judgment and requiring accuracy and speed; and understand and carry out oral and written instructions. 
  • Licenses, Certifications, Bonding, and/or Testing Required: TB test clearance, criminal justice clearance, pre-employment physical and drug test.
