Job Summary

Job Summary

Under the direct supervision of the Superintendent or designee the Human Resources Assistant serves as support to the Human Resources Department and performs a variety of tasks related to Human Resources, personnel and other related duties as assigned. Work Conditions Indoor office environment with constant interruptions. May require travel to other offices / sites.

Job Description / Essential Elements:    Print   

Essential Duties 

  • Maintain and assist with updates to  multiple online systems, including but not limited to, DocuSign, substitute system, time clock system, Personnel data system

  • Assist with Highly Qualified Teacher (HQT) status, Induction needs, credential verification, etc. for certificated employees

  • Submission of requests to Merced County Self Insured Group (MCSIG) for reimbursement of expenditures related to safety funded purchases

  • Maintenance of employee handbooks, handouts, training material, etc.

  • Maintain and update multiple District forms

  • Maintain & schedule pre-employment tests/exams

  • Update and maintain application processes via technology, including application submission, posting of job vacancies, screening of applicants, testing, etc.

  • Arrangement, setup, maintenance & upkeep of the time clock system (PurelyHR)

  • Send out notices regarding promotion inquiries, transfer requests and/or reclassification requests from employees

  • Coordination / Management of student teachers and volunteers

    • MOUs from universities

    • Paperwork, fingerprint clearance, etc.

  • Assist with coordination / management of teachers with emergency permits (PIP, STSP, Intern, etc)

  • Update and maintain District Human Resources webpage with input from Human Resources Specialist or designee

    • Maintain updated Collective Bargaining Agreements

    • Job postings / links to EdJoin

    • Calendar of events

    • Maintain updated Board Policies & Administrative Regulations

    • Maintain updated Standard Operating Procedures

  • Create, update and maintain Certificated and Classified Substitute personnel files

  • Receive and process Public Records requests

  • Updated and maintain “Extra Duty” spreadsheet and applications for Stipend positions

  • Maintain all personnel records as confidential files

  • Absence input of day-to-day absences, & extended illness leaves (once the interactive process has been started and/or completed)

  • FMLA notices to employees regarding extended illness leave

  • Update and maintain staff calendars for 11 month employees

  • Update and maintain Seniority listings

  • Compute evaluation dates

  • Manage calendar for TB tests

  • Maintain spreadsheet of employees for training purposes 

  • Arrange scheduling for annual mandatory training sessions

  • Processes and maintains records for Bus Driver Drug Testing

  • Maintains a variety of manual and electronic files, documents and records; compiles data, types and collates reports in accordance with deadlines.

  • Send out paperwork for WC injuries

    • Incident report

    • Treatment referrals

    • Medical Authorization

    • DWC-1







  • Assist in recruitment and selection process

  • Post job vacancies

  • Set up dates and reserve rooms for interviews

  • Put together, print and distribute interview packets

  • Set up pre-employment appointments for fingerprints, physical, drug testing

  • Create personnel files, medical file and credential/transcript file

  • Send and complete new hire paperwork for the employee

  • Copy and send payroll packet for new hire

  • Employee verification of previous experience and/or transfer of sick leave

  • Update and input of college units to the QSS system

  • File new personnel, medical and transcript files

  • Add employees to various databases as needed.

  • May be assigned as member on the District Wellness Committee

  • May be assigned as the alternate member for the Merced County Self Insured Group (MCSIG) Joint Powers Authority (JPA) for workers’ compensation

  • Maintain files and paperwork for the Department of Transportation (DOT) Drug & Alcohol testing program

  • Update and put together binders for employee orientation

  • Process updates to employee personnel changes

  • Maintain the Human Resources Office filing 

  • Create, update & maintain Classified Substitute lists for each department

    • Distribute sub lists to departments as updated

  • Other related duties as assigned


Knowledge & Abilities

  • Knowledge of modern office practices, procedures and equipment.

  • Knowledge of telephone techniques and etiquette.

  • Knowledge of basic record keeping and filing techniques.

  • Knowledge of English usage, grammar, spelling, punctuation and vocabulary.

  • Ability to learn department and/or program objectives, policies, procedures and goals.

  • Ability to type or input data at an acceptable rate of speed.

  • Ability to understand and follow oral and written directions; communicate effectively both orally and in writing; complete work with many interruptions.

  • Ability to establish and maintain cooperative and effective working relationships with others.

Requirements / Qualifications

Resume Letters of Recommendation Qualifications High School Diploma or equivalent is required Bilingual in English/Spanish is preferred Passing of District’s proficiency exam Experience Minimum of two years of clerical, reception, word processing, filing, record keeping or other clerical duties required. Previous Experience in Human Resources highly preferred
