Job Summary
? Serves as the confidential administrative assistant to the Director of Student Programs by possessing exceptional organizational and technical administrative skills at a level requiring extensive/independent decision-making ability and substantial initiative and judgment to attend to issues in the absence of the Director; ? Perform a variety of complex and specialized duties in support of student programs including enrollment, accurate record-keeping, referral, and placement functions; Assuring smooth and efficient operation of the County-wide Student Services programs; ? Produces clear, concise, grammatically correct (including punctuation and spelling), letters memos, minutes, and other written documents to maintain official records; ? Illustrates effective oral communication skills in all facets of administrative assignments and function; ? Manages office details by relieving the Director of routine requests and matters; schedules and coordinates Director’s calendar and appointments; ? Coordinates travel and conference arrangements for the Director and other employees; ? Operates a variety of standard office equipment, and is knowledgeable with various assigned system software (e.g., Microsoft Office; ESCAPE; Website; Calpads); ? Compiles, organizes, and composes narrative reports, grants, plans and special projects as assigned by the Director; ? Serve as a liaison between students, staff, schools, partner agencies, care providers, outside organizations and the public; ? Respond to inquiries and provide information concerning related standards, requirements, processes, services, practices, policies and procedures; ? Establish, maintain, and track student records and files; update records and files with personal, health and educational information; prepare and maintain various records and reports related to Foster Youth Services, students, progress and assigned activities; ? Plans, coordinates, and attends meetings; ? Maintains current knowledge
Requirements / Qualifications
? High school diploma supplemented by a combination of college education (in business administration, secretarial science or related field) and/or specific secretarial training which thoroughly demonstrates the ability to perform complex/executive secretarial level duties that occur within a public educational environment
