LAFAYETTE SCHOOL DISTRICT Office Manager I – Elementary School DEFINITION: Under the supervision of the Principal or designee, to act as secretary and receptionist in a school office; to assist the Principal or designee with clerical duties; and to do related work as required. JOB CHARACTERISTICS: The Office Manager shall exercise discretion and initiative, make independent decisions, interpret policies/procedures, and interact effectively and efficiently with parents, teachers, and students under varied conditions. EXAMPLES OF DUTIES: • Serves as confidential secretary to the principal/designee. • Maintains both a school and Principal’s calendar, and keeps all parties concerned informed. • Responsible for overall operation of school office. • Prepares records and reports. • Prepares requisitions; receives, inspects, stores, records and checks inventories; distributes supplies and instructional materials. • Responsible for processing and reporting school site funds. • Prepares and maintains a bookkeeping system for school and student body expenditures on a spreadsheet. • Screens and answers requests for information. • Independently answers routine correspondence. • Registers new students and processes files, legal data forms, and attendance records. • Assists in the preparation and administration of state testing; prepares and maintains testing data and reports. • Maintains time sheets and records, and records attendance for site employees. • Responsible for clerical support of school and departmental programs. • Maintains student attendance records and submits attendance reports to the District Office. • Answers telephones and confers with parents regarding pupils’ absences and other matters of student welfare. • Schedules the use of school facilities in coordination with the District Office. • Administers medication, first aid, CPR, and emergency medical procedures as necessary. • Administers medication, first aid, CPR, and medical procedures as defined in a pupil health plan. • Maintains pupil medical files and logs. • Assists teachers with clerical support. • Performs other duties as assigned. QUALIFICATIONS: Knowledge of: • Basic modern office methods, practices and procedures. • Correct English usage, spelling, grammar, and punctuation. • Common office machines and operation. • Word processing, spreadsheet and database applications. • First aid and CPR as evidenced by possession of Red Cross certificate within six months after employment. Subsequent renewals and/or attendance at in-service first aid training required. • General school objectives and policies and State laws and regulations. Ability to: • Work collaboratively with office and school personnel. • Supervise office support staff. • Perform responsible clerical and secretarial work with accuracy and speed. • Establish and maintain cooperative and effective working relationships with students and adults. • Learn and explain rules, laws and policies related to education and apply them with sound judgment in a variety of procedural situations. • Work effectively with constant interruptions. • Make mathematical calculations quickly and correctly. • Compile and maintain accurate and complete records and reports. • Follow oral and written directions. • Effectively use word-processing, spreadsheet and database applications. • Analyze situations and adopt an effective course of action. • Communicate effectively both orally and in writing. Education and Experience: • High school diploma required. • Three years of experience in a secretarial or clerical position, requiring frequent contact with the public, preferably in a school setting. • One or more years of advanced coursework/training in the area of secretarial science, business services or related fields. Desirable Qualifications: • Knowledge of student database systems such as Aeries. Physical Standards: The work environment and physical demands of the positions as described below are representative of those that must be met by an employee to successfully perform the essential functions of a position in this category. Work Environment: While performing the duties of this position, employees are subject to constant interruption and are in direct contact with the public, students and employees. Negative interactions resulting from these contacts can result in stressful situations. These positions may be high volume positions and may work without direct and/or constant supervision. While the noise level in an office environment is usually quiet, a school site office may be somewhat louder. Exposure to blood-borne pathogens, bodily fluids and communicable diseases is possible. Physical Demands: The physical demands of these positions include the ability to sit for extended periods of time. These positions require some walking and standing as well as bending and reaching at, below and above shoulder level. Lifting, pushing or pulling of objects generally not exceeding twenty pounds may also be required. Repetitive use of fingers and hands to operate a keyboard and other office equipment is necessary, as is hearing and speaking ability sufficient to provide information via phone, intercom and personal contact. Specific vision abilities including close vision, depth perception and the ability to focus are required. The ability to learn and administer first aid and CPR is required at the school site.
