GENERAL INFORMATION: The Program Assistant works with the National Service management team to plan, organize and perform a wide variety of specialized administrative and technical duties in support of the successful completion of work scope goals and deliverables for grant-funded projects. This position is anticipated to be primarily stationed in the NCOE Research & Professional Development Center in Petaluma, CA, with some required trainings and meetings in the NCOE-Napa office. Occasional travel in local regions and statewide. This position will report directly to the National Service Sr. Program Manager, Community Programs. QUALIFICATIONS: • Bachelor’s Degree preferred • A minimum of 1-2 years experience with the administration of complex grant-funded projects/related program experience • Experience or familiarity with AmeriCorps, Peace Corps or other national service programs and demonstrated commitment to service and community • CDL and NCOE driving clearance required PRIMARY RESPONSIBILITIES: General Administrative Assistance • Responsible for providing a wide variety of administrative support to program staff, partners, and participants including outreach, research, data entry, member support, and fiscal assistance. • Responsible for assisting with emails, social media, newsletters and regular communication regarding program related needs. • Represent the project to the public including consultants, advisory members, and constituents. • Track support requests and coordinate the provision of follow-up technical assistance. • Support the planning and logistics of program trainings and webinars • Responsible for addressing problems proactively.
Outreach & Enrollment • Perform outreach, follow up calls, help with initial screening and interviews of potential members • Assist in tracking member background clearances and service agreements • Set up and monitor member timekeeping and record keeping systems for service term • Develop appropriate materials for regular communications with applicants, selected members and on site supervisors • Process requests for assistance with speed and accuracy. Data Collecting & Reporting • Support data collection and reporting processes. Following up with programs for data and tracking information. • Assist with tracking invoices, payments and providing reports to management when requested. • Work with Program Management team to ensure that all reporting requirements are met. KNOWLEDGE, SKILLS, AND ABILITIES: • Knowledge in the development and implementation of high-quality educational, volunteer and service programs • Ability to present trainings and program information effectively • Ability to work independently, seek clarification as needed, plan, organize, and coordinate work on multiple projects with concurrent deadlines • Thorough knowledge and understanding of project goals and standards • Knowledge of project policies and procedures to use as guidance, and use of considerable judgment and discretion • Excellent written and verbal communication skills and the ability to develop and maintain positive working relationships • Ability to work well across tasks and with multiple teams, including project staff, consultants, NCOE staff, partnering agencies and funders • Excellent Microsoft Office, Word, Excel, Adobe Creative Cloud/Suite and PowerPoint skills • Attention to detail and excellent organizational and project management skills
