Job Description / Essential Elements:    Print   

Under the direction of an assigned supervisor, perform a variety of clerical and secretarial duties involving typing, filing and maintaining records and reports in support of an assigned school, special program or district function; answers phones; greet and assist students, parents and visitors.  Screen and direct callers; take and relay messages; provide information regarding policies, procedures, activities, programs and schedules; direct inquiries to the appropriate person or office. Type a variety of written materials including reports, records, schedules, correspondence, memoranda, bulletins and newsletters; maintain a variety of logs, records and files related to assigned office; sort, classify and file materials. Participate in various attendance-related duties as assigned; verify absences as needed; prepare and maintain attendance and absence reports and lists according to established procedures; issue readmits to students; maintain student records regarding absences, readmits and tardies. Participate in student registration activities; assist parents with proper completion of forms; enroll and drop students as appropriate; maintain related files and records; Prepare daily and monthly attendance reports for staff; distribute paychecks; document staff absences and extra assignments; request substitute teachers. Inventory and order office, classroom and school supplies, materials and equipment as directed; maintain related records; prepare and distribute purchase orders. Supervise students in the office and monitor behavior. Perform related duties as assigned.

Education/Experience: Any combination equivalent to: graduation from high school and one (1) year of increasingly responsible clerical or secretarial experience. Knowledge/Abilities: Knowledge of correct oral and written usage of English and a designated second language, modern office practices, procedures and equipment, operation of a computer terminal and data entry and record-keeping techniques. The Ability to perform clerical duties such as filing, typing, duplicating and maintaining records; communicate effectively both orally and in writing; operate a computer terminal to enter data, maintain records and generate reports, complete work with many interruptions, and type at 40 words per minute from clear copy. Other: Positions at school sites will be required to possess and maintain a CPR and First Aid certificate.
