Under the direction of the Superintendent, the Administrative Assistant shall perform a variety of administrative tasks and shall perform detailed technical and clerical work in support of District and County office of Education Management and Confidential staff.

Required: 1. High school diploma or equivalent supplemented by college level course work, in office practices, management, or business administration 2. Knowledge of business software applications such as Microsoft Office Suite

Essential Duties and Responsibilities
Superintendent Administrative Support
o Assist with board Agenda Prep and Distribution
o Create work orders, POs and assist with travel arrangements
o Prepare expense reports
Business and Payroll Administrative Support
o CNIPS Claims, verifying student attendance, Independent study attendance verification, employee leave trackers, preparing and distributing payroll checks, record and track bus / suburban mileage
Funding Coordinator & Special Projects
o Assist with document preparation including public posting, signatures, and distribution
Human Resources Administrative Support
o Assist with Interview scheduling, job postings, candidate tracking, and pre-employment processing
Phones, Filing, Faxes, Mail Distribution and Other Administrative Duties
• Perform the full range of administrative assistant duties for the office
• Receive and transcribe dictation of letters, reports, memoranda, minutes, and other correspondence requiring accuracy and speed
• Type and assemble reports, grant applications, manuals, correspondence, and other materials
• Respond to letters and general correspondence as directed
• Assist with travel and meeting arrangements for all District/County employees
• Maintain calendar of appointments for the Superintendent for activities with other personnel, the public, and outside agencies
• Reserves meeting rooms and arranges for set-up, food service and special services as appropriate for meetings, seminars, conferences, and other functions for administration and staff
• Assist with the organization, distribution, and maintenance of all District/County entrance instruments including keys, keyless entry devices (FOBs), and alarm codes
• Attend and participate in staff meetings and in-service activities as needed
• Operate a computer terminal and use word processing, spreadsheet, and graphic software packages to maintain detailed information and records, reports, and newsletter
• Assist with preparation of agendas and documents for meetings
