SANTA ANA UNIFIED SCHOOL DISTRICT SCHOOL OFFICE MANAGER-ELEMENTARY BASIC FUNCTION: Under the direction of a Principal I or a Principal II, perform a wide variety of clerical and secretarial functions in the management of a school office at an elementary school or special school; perform public relations and communication services for the Principal. DISTINGUISHING CHARACTERISTICS: Positions in this class are characterized by the relatively small amount of supervision received, since many of the duties must be performed while the Principal is absent from the office. Most clerical operations are diverse and performed independently or with the assistance of clerical personnel. There is frequent contact with parents, teachers and students. This position is often the first line of contact with parents and visitors to the campus. REPRESENTATIVE DUTIES: Serve as secretary to the Principal and Assistant Principals as necessary. E Coordinate the front office of a school acting as receptionist and the first contact with outsiders. E Provide information as necessary over the phone or in personal contacts with parents, students or school personnel. E Type from rough drafts or instructions a variety of materials such as letters, memoranda, bulletins, reports, and statistical data. E Input and maintain student data in computer system; enroll and transfer students and maintain attendance records; maintain records on class size and other data required by special programs or District policy. E Administer the certificated and classified payroll including the completion and submission of time sheets to the Principal and the payroll department; maintain accurate records with respect to person¬nel. E Maintain and prepare school office records and consolidate reports as directed by the Principal. E Prepare staff and parent bulletins as directed; distribute other bulletins. E Maintain cooperative effort with school health office, assisting as needed with records, first aid and emergencies. E Coordinate efforts of the school in working with school counselors and community workers on such matters as truancy, absenteeism, needy families and District referrals. E Monitor the budget on behalf of the Principal as directed. E Collect and account for money collected in conjunction with fund raising and other school activities. E Requisition, receive, store and distribute supplies and office materials; maintain records and logs; maintain materials and equipment inventories; submit equipment repair requests. E REPRESENTATIVE DUTIES: (CONTINUED) Assist in obtaining substitute personnel; assist substitute personnel in locating assigned classroom and in completing required paperwork. E Maintain control of school keys. E Provide work direction and guidance to other office clerical workers. Make appointments as needed for the Principal and Assistant Principals. Perform a wide variety of problem_solving tasks in support of certifi¬cated, classified and management personnel. Perform related duties as assigned. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: Modern office practices, procedures and equipment, including computer equipment. Record_keeping techniques. Health and safety regulations. English, grammar, spelling and punctuation. Reading and writing communications skills. School District organization, operations and objectives. Oral and written communications skills. Applicable sections of State Education Code. ABILITY TO: Make simple arithmetic calculations. Operate modern office equipment including computer equipment. Work cooperatively with others. Type at 50 words per minute. Establish and maintain effective working relationships with others. Communicate effectively with others. Work independently in the absence of supervision. Meet schedules and time lines. Maintain records and prepare reports. Communicate effectively both orally and in writing. Maintain good public relations with students, parents, teachers and the public. Schedule and plan clerical work. Perform the essential functions of the job. EDUCATION AND EXPERIENCE: Any combination equivalent to graduation from high school and three years of responsible clerical experience involving meeting the public. WORKING CONDITIONS: ENVIRONMENT: Elementary school environment. Constant interruptions. PHYSICAL ABILITIES: Hearing and speaking accurately to exchange information in person or on the telephone. Seeing to read a variety of materials. Sitting or standing for extended periods of time. Dexterity of hands and fingers to operate a computer keyboard. Bending at the waist, kneeling or crouching to file materials. Lifting or moving objects, normally not exceeding twenty (20) pounds.
