THE POSITION: The job of School Secretary - Site is to provide secretarial support to assigned site; supporting the educational programs of the ACOE school sites; establishing and maintaining records; compiling and distributing materials and reports; and responding to inquiries from a variety of internal and external sources. This job reports to the Assigned Administrator. LOCATION: Various Student Programs & Services sites in Hayward, Oakland, Berkeley or San Leandro TYPICAL DUTIES: Maintains and orders inventory of supplies and materials (e.g. forms, office supplies, etc.) for the purpose of ensuring items' availability. Maintains a variety of manual and electronic document files and records (e.g. student data, class schedules, work orders, time sheets, expense reimbursement requests, requisitions, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements. Prepares a variety of student data related reports using specialized software (e.g. class schedules, attendance report, academic history, etc.) for the purpose of ensuring correct information is being entered into the system for accurate use by a variety of staff. Responds to inquiries from a variety of internal and external parties (e.g. district staff, other schools, government agencies, general public, students, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction. Schedules activities (e.g. appointments, meetings, travel reservations/accommodations, facility usage, enrollment meetings from expulsion, etc.) for the purpose of making necessary arrangements for assigned administrator or students and their families. MINIMUM QUALIFICATIONS: Two years related office experience and/or training. High school diploma or general education degree (GED).
