Job Summary
Under direction of the Superintendent/Principal and Butte County Office of Education external services. This position provides full spectrum administrative support in the District office including matters of a confidential nature while also performing various payroll duties related to employee leave, insurance payables and payroll deductions and coordination of recruitment and retention of District staff.

EXAMPLE OF DUTIES:
- Processing of payrolls, including data collection, time card verification, audit hours, vacation, sick leave and workers compensation including the coding of payroll.
- Process long term leaves in accordance with bargaining agreements, Ed Code and regulations.
- Examine a general ledger to make balancing corrections.
- Audit final payroll and distribute.
- Act as internal consultant to management and staff on issue of payroll and purchasing.
- Apply correct general ledger accounts to payroll and invoice payments.
- Coordinate with Superintendent or Executive Assistant for personnel events that will impact employee pay or position.
- Respond to and assist in resolving difficult and sensitive requests; apply policies and procedures.
- Maintain financial and payroll information system records and generate reports as needed.
- Meet payroll and purchasing deadlines.
- Perform general accounting work, processing payroll and financial transactions, purchasing and payments, and maintain complete files and accurate records.
- Prepare and balance health benefits billings.
- Monitor and reconcile school cash accounts.
- Perform general accounting clerical work, processing payment transactions and maintaining complete files and accurate records.
- Prepare various financial reports, records, journal entries and summaries related to payroll and financial accounting transactions.
- Understand and interpret a variety of financial statements, reports and documentation.
- Perform related duties and responsibilities as required.
QUALIFICATIONS:
Knowledge of/Ability to:
- Oral and written communication skills including knowledge of business and educational terminology, vocabulary, grammar and mechanics.
- Work with staff, students, parents and public tactfully, courteously, competently and professionally.
- Maintain confidentiality and professionalism in working relationships.
- Work independently and use initiative and good judgment.
- Organize materials and maintain accurate records.
- Monitor budgets relative to ordering supplies.
- Modern office equipment, computer and technological applications.
- School district operations, requirements, laws, regulations, procedures and policies.
- Understand and interpret the budget, accounting, payroll and fiscal procedures and methods.
- Proper child care techniques including the growth and development principles of children.
- Basic first aid and safety requirements.
- Possession or ability to obtain a valid CPR/Standard First Aide certificate.
- Follow and understand written and oral instructions.
- Perform physical requirements of jthe job with reasonable accomation.
- Establish and maintqain effective working relationships with those contacted in the course of work.
- Possess valid drivers license.
- Understand and communicate federal and state labor laws and Ed. Code.
EXPERIENCE AND TRAINING:
Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.
A typical way to obtain the knowledge, skills and abilities would be:
- 3 years of increasingly responsible administrative support experience related to the duties and responsibilities as specified, which include decision making responsibilities and exercising of independent judgment.
- Experience working in a business office equivalent job related experience.
- Maintain confidentiality of employee information.
- Demonstrate critical thinking skills and exercise sound judgment, flexibility, creativity and sensitivity in response to changing situations and needs.
- Perform mathematical computations quickly and accurately.
- Principals of financial record keeping.
- Three years of responsible experience maintaining and/or processing school payroll, financial and/or benefit transactions, budgeting, accounting and financial record keeping or related fields.
- Experience in a school district is highly desirable.
Other:
- To comply with the Immigration Reform and Control Act of 1986, all new employees must provide proof of identity and authorization to work in the United States.
- Fingerprinting for conducting a background investigation is mandatory and will be completed prior to the employee beginning employment.
- TB (Tuberculosis screening) is mandatory and will be completed prior to the employee beginning employment.
