BRAWLEY HIGH SCHOOL DISTRICT

CLASS TITLE:  ASB OFFICE CLERK

BASIC FUNCTION:

Under the direction of an assigned administrator, perform a variety of clerical accounting and financial record-keeping duties in support of the Associated Student Body (ASB), student store and related accounts and functions.

REPRESENTATIVE DUTIES:

ESSENTIAL DUTIES:

Perform a variety of clerical accounting and financial record-keeping duties in support of ASB, the student store and related accounts and functions; process and verify various financial forms and documents; review accounts for errors and make appropriate adjustments; audit/collect on insufficient fund check returns.

Process accounts receivable in support of ASB activities; collect, receive, verify and process incoming monies; issue and prepare receipts; count and record monies into proper accounts; reconcile accounts, monies and receipts; prepare and make bank deposits.

Prepare, process and maintain ASB, student club and other assigned funds and accounts; assemble, match, sort, tabulate, check and post income and expenditures; balance and reconcile bank and other assigned accounts.

Receive, review, process, sort and file check requests, invoices and other payables as assigned; arrange for and distribute payments and prepare checks for signatures; obtain approval and signatures for checks as needed.

Compile, research and assemble a variety of financial data; maintain a variety of financial and statistical records and logs related to accounts, income, expenditures, receipts, cash, balances, deposits, reconciliations, sales tax and assigned activities; prepare basic reports.

Provide assistance to students, parents, staff and vendors in the student store as needed; sell a variety of products to students and parents; count money, make correct change and issue receipts.

Input and update a variety of data in an assigned computer system; establish and maintain automated records and files.

Prepare, duplicate and distribute a variety of correspondence, documents and materials related to ASB and assigned activities; process 1099’s and compiles related data and information.

Operate a variety of office equipment including a calculator, copier, fax machine, computer and assigned software.

OTHER DUTIES:

Provide oral and written translation between students, teachers, staff, parents and others as required.

Perform related duties as assigned.

KNOWLEDGE AND ABILITIES:

KNOWLEDGE OF:

Basic methods, procedures and terminology used in clerical accounting work.

Modern office practices, procedures and equipment.

Basic financial and statistical record-keeping techniques.

Correct English usage, grammar, spelling, punctuation and vocabulary.

Operation of a computer and assigned software.

Methods of collecting and organizing data and information.

General use and processing of invoices, check requests, receivables and related documents.

Oral and written communication skills.

Interpersonal skills using tact, patience and courtesy.

Mathematical computations.

Basic report preparation techniques.

ABILITY TO:

Perform a variety of clerical accounting and financial record-keeping duties in support of ASB, the student store and related accounts and functions.

Compare numbers and detect errors efficiently.

Maintain accurate financial and statistical records.

Process and record accounting transactions accurately.

Compose and distribute a variety of documents forms and correspondence.

Learn policies and objectives of assigned programs and activities.

Operate standard office equipment including a computer and assigned software.

Compile information and prepare reports.

Understand and follow oral and written instructions.

Communicate effectively both orally and in writing.

Establish and maintain effective working and cooperative relationships with others.

Add, subtract, multiply and divide quickly and accurately. 

EDUCATION AND EXPERIENCE:

Any combination equivalent to:  graduation from high school and one year clerical accounting experience.
